Use of AI Services for Automated Document Processing

To automate the processing of incoming business correspondence (e.g. for the creation of invoices and quotations), we use services provided by Mistral AI (Mistral AI, Paris, France). For this purpose, the content of incoming emails, which may contain personal data of contact persons of our business partners (e.g. names and contact details), is transmitted to the Mistral AI interface (API) for automated text recognition and data extraction. The processing is carried out solely for the purpose of generating the requested result (e.g. extraction of relevant fields). No permanent storage of the data takes place at Mistral AI (Zero Data Retention). The transmitted data is not used to train AI models.

The legal basis for this processing is Article 6(1)(b) GDPR (performance of a contract or implementation of pre-contractual measures with our business partners) and Article 6(1)(f) GDPR (legitimate interest in efficient, automated business process management). A data processing agreement pursuant to Article 28 GDPR has been concluded with Mistral AI. Processing takes place within the European Union.
